Heart Havens seeks a Sponsored Residential Director to join our Richmond, VA team and lead our mission of empowerment and our values of accountability, integrity, respect, and empathy. As the Sponsored Residential Director, you will be responsible for executing the daily operations of Heart Havens’ sponsored residential service provision. This position directly supervises programmatic roles, evaluates the quality-of-service delivery, and coordinates implementation of interdepartmental responsibilities. The Sponsored Director is responsible for identifying and forming processes and procedures that align with federal and state regulations, and Heart Havens’ Mission and Core Values. The position is tasked with monitoring changes to the service system and proactively recommending and implementing improvements to existing services.
Our organization follows a hybrid work structure for our administrative team where employees can work remotely three days a week.
Requirements:
Minimum Education and Experience:
· Four (4) year degree in Human Services or related field.
· Minimum of 2 years of relevant experience in a related field.
· Meets Qualified Developmental Disability Professional (QDDP) standards.

-Must maintain required certifications: Therapeutic Options, Medication Administration, and First Aid/CPR/AED.
Essential Functions:
-Monitors regulatory changes and updates from DBHDS, DMAS, and other governing bodies, identifies non-compliance or processes in need of improvement, and recommends policy or procedure changes to maintain compliance.
-Participates in external audits, and inspections, such as licensing inspections, mortality reviews, and HCBS audits.
-Ensures the sponsored residential program maintains compliance with regulations and Heart Havens policies by conducting routine program visits, monitoring incident management files, and recommending thorough follow-up actions.
-Provides oversight to incident management activities by participating in routine team meetings, reviewing and approving incident reports (General Event Reports), and verifying appropriate follow up actions are completed.
-Serves as a Serious Incident Reporter in DBHDS’s CHRIS system and maintains trainings on serious incident reporting guidelines set by the Department.
-Maintains records and files for CHRIS Reports/CAPS, and individual records.
-Provides guidance to the Sponsored Program Managers and contracted sponsors on implementation of Plans for Supports; developing and implementing a comprehensive response to resident change of status via updating Part V’s, protocols, or obtaining additional assessments
-Provides supervision to Sponsored Program Mangers with Individual Support Plan (ISP) development and reviews Residential Part V’s, protocols, and quarterly reports.
-Completes annual service authorization requests according to regulatory requirements, and monitors WaMS communications to promptly address issues identified by support coordination or DBHDS staff.
-Collaborates with the Human Resources Director and COO on elevated staff and/or contractor concerns and progressive discipline.
-Seeks approval from COO on resident intake and discharges and oversees processes, delegating activities to appropriate team members.
-Approves contracted sponsors acceptance into the Sponsored Residential Program and reviews all supporting documentation prior to submitting the location and sponsor(s) for licensing approval.
-Actively contributes to the organization’s Quality Improvement program by attending committee meetings, collaborating with the Quality and Compliance Director to establish strategic initiatives, and reviewing progress toward goals and objectives.
-Collaborates with team members to address training gaps, identify growth opportunities, plan staff and/or contractor development, implement quality improvement initiatives, mitigate risks, and analyze trends and patterns.
-Supports the finance team by resolving billing discrepancies and monitoring attendance records to ensure accurate and timely reporting for billing purposes.
-Serves as the primary contact for client record systems, including OneDrive file storage, Therap, and QuickMAR. Provides training to team members on these systems and ensures compliance with regulations and data integrity.
-Serves as a secondary reporter for human rights allegations and complaints in the CHRIS system, assists in reviewing complaints, and conducts human rights investigations as assigned.
-Supports the organization by executing assigned Corrective Action Plans (CAPs), monitoring the implementation of approved CAPs, and supervising activities delegated to team members.
-Conducts annual safety inspection at all program sites, recommends follow-up activities, and maintains appropriate documentation.
-Serves as an additional point of contact for Support Coordinators, family members, and substitute decision-makers.
-Maintains training on the root cause analysis (RCA) process and completes RCAs, as assigned.
-Follows budgetary guidelines set forth by the Chief Operating Officer when using Heart Havens funds.
-Responds to individual and program site emergencies, as needed.
-Performs other job-related duties as assigned.
